Microsoft 365 Security Basics for Small Businesses

Business email contains invoices, customer conversations, password resets and commercially sensitive information. Securing Microsoft 365 does not require an enormous IT programme, but a few settings should be treated as essential.

Turn On Multi-Factor Authentication

Multi-factor authentication adds a second check when somebody signs in. A stolen password on its own is then less useful to an attacker.

Every account should use it, especially administrators. Staff should also know that unexpected approval prompts must be rejected rather than accepted automatically.

Keep Administrator Access Separate

Daily email accounts do not always need full administrator rights. Restricting administration reduces the damage one compromised account could cause.

Make sure more than one trusted route to administration exists, but do not share a single administrator password between people.

Review Accounts When Staff Change

When somebody leaves, block their sign-in promptly and decide how their mailbox and files should be retained. Simply changing a password may not close every active session.

For new starters, create an individual account rather than reusing somebody else's identity.

Protect Against Misleading Messages

Security settings help, but staff awareness remains important. Be cautious when an email requests an urgent payment, changes bank details or asks somebody to sign in through an unfamiliar link.

If a request is unusual, confirm it through a second method such as a known phone number.

Keep Recovery Details Current

Old mobile numbers and personal email addresses can make account recovery difficult. Check that recovery methods belong to the right people and are updated when responsibilities change.

Document who manages the Microsoft 365 tenant, where billing is handled and how emergency access would work.

Connect Devices Properly

Computers and phones should use supported applications and current software. Remove business accounts from devices that are lost, replaced or no longer used for work.

Start With a Clear Setup

Security becomes harder when accounts have been added informally over several years. A short review can identify unused users, excessive permissions and missing multi-factor authentication without disrupting normal work.
